Clinics: daily accounts

Expected, collected and outstanding for a day or a period, by payment method and by doctor, with a CSV export.

On this page

Daily accounts brings the clinic's money figures together for one day or a period: what you expect to collect, what was actually collected, and what is still owed. The figures come from the prices, deposits and payments your team records, because Hadir Chat never holds the money.

Before you start

  • You need "Clinic: view daily accounts", or to be an administrator. This permission is off in every custom role until an administrator ticks it.
  • Your types have prices, and deposits and payments are recorded on appointments. See Deposits and payments.

Open the accounts

  1. In clinic mode, open More, then Daily accounts. If your administrator moved it to the main tabs, it is right in the sidebar.
  2. It opens on today. For a longer period, choose From and To (1), up to 92 days.
  3. To see one doctor, choose them under Doctor, or leave All doctors.

What the figures mean

The cards (2) show three figures for each currency separately, never converted:

  • Expected: the prices of the period's appointments, except cancelled ones.
  • Collected: paid deposits and visit payments, minus refunds, by their Paid on date.
  • Outstanding: deposits awaiting payment and what patients still owe, on the period's appointments that were neither cancelled nor missed. It is split underneath into deposits and balances.
  • No-shows: how many patients missed their appointment, and what those appointments were worth.
Note: collected follows the payment date; the rest follows the appointment date. A deposit paid last week for today's appointment counts in last week's collected, and in today's expected.

Example: two appointments today at EGP 300 each, and a deposit of EGP 100 paid today for one of them. Expected is EGP 600, collected EGP 100, outstanding EGP 500.

The details

  • Collected by method (3): cash, bank transfer, card / POS, payment link, other. Useful for balancing the till at the end of the day.
  • By doctor: expected, collected and outstanding for each doctor, the doctor being the agent on the appointment.

Export the accounts

  1. Choose the period and doctor you want.
  2. Select Export CSV (4). You get a file that opens in Excel, with a row per appointment in the period, then a row per deposit or payment paid in it, with the date, time, patient, doctor, amount, payment method, reference and who recorded it.

Every export is recorded in the activity log under the name of the person who made it.

The same summary (Expected, Collected and Outstanding) also shows at the top of Today's appointments for people with this permission.
