Roles and permissions
Who owns the workspace, what administrators and agents can do, and how to give someone a specific set of permissions with a custom role.
On this page
Everyone in Hadir Chat has a role that decides what they see and what they can do. There are three levels: the workspace owner in your account dashboard on hadir.chat, the Administrator and Agent roles in the inbox, and, between them, Custom Roles if your plan includes them.
The workspace owner
Each workspace has one owner. Only the owner can pay, change the plan, invite the team from the account dashboard, export the data and erase the workspace. Anyone else sees “Only the workspace owner can change this.” next to those actions. If the person responsible changes, transfer ownership instead of sharing a password: see Transfer workspace ownership.
Administrator and Agent
- Administrator: reaches all of Settings in the inbox, manages agents, channels, teams and reports, and sees conversations in every inbox.
- Agent: answers conversations in the inboxes they belong to, without access to settings.
You pick the role when you add someone, as described in Add your team.
Create a custom role
A custom role is a role you name and fill yourself, such as “Order supervisor” or “Front desk”.
- In the inbox, open Settings, then Custom Roles.
- Select Add custom role.
- Enter a Name (1) and a Description (2).
- Under Permissions (3), tick what this role needs, then select Submit (4).
The permissions
- Conversations: “Manage all conversations”, “Manage unassigned conversations and those assigned to them”, or “Manage participating conversations and those assigned to them”. Ticking the first also ticks the other two.
- Contacts, reports and knowledge: “Manage contacts”, “Manage reports” and “Manage knowledge base”.
- Hadir AI and sales: “Use Hadir AI (HadirPilot, reply tools, summaries)” and “See and edit every task and deal, not only their own”.
- Stores and orders: connecting stores, plus four order permissions explained in Staff permissions for orders.
- Hadir Assistant: who uses the assistant, and whether they see team performance, sales and campaigns, or ask it from the store's channels.
- Clinic: shown only while the Clinics add-on is on, such as “Clinic: view the patients list” and “Clinic: manage deposits and send payment links”. An agent without a custom role has none of them.
Give the role to an agent
- Open Settings, then Agents, and select the edit button next to the agent's name.
- Choose the custom role from the Role list (1); custom roles appear below Administrator and Agent.
- Select Edit Agent (2).
To change or remove a custom role, open Custom Roles and use Edit or Delete next to it.
Note: Custom Roles appears in Settings for administrators only, and only when your plan includes it. Otherwise you see “Custom roles are not enabled for this workspace.”
