Hiding private conversations

Make a conversation or contact private so only the account owner and the people they choose can see it, stop receiving a number, or hide a number entirely from your phone.

On this page

Some conversations shouldn't be visible to the whole team: a personal number, a sensitive customer, a partner. Hadir Chat gives you two ways to handle them:

  • Hide from the team: messages are stored as usual, but only the account owner and people the owner grants «Manage private conversations» can see them.
  • Stop receiving: Hadir Chat stops storing this number's messages on this channel. They still reach the WhatsApp app on your phone as usual.

Who sees private conversations?

  • The account owner, always.
  • An administrator, only if the owner turns on "Sees private conversations" in that administrator's edit dialog.
  • An agent, only if their custom role includes "Manage private conversations", and only in the inboxes and teams they can already reach. Only the owner can grant it.

Nobody else sees a private conversation anywhere: the conversation list, search, counters, notifications, reports or exports. Hadir AI, campaigns, automated messages and automation rules don't act on it either.

Make a conversation or contact private

  1. Open the conversation and choose Make private from its actions.
  2. Choose the scope: This conversation only (the contact on this channel, including future conversations here) or All of this contact's conversations and details (every channel; the contact record itself is hidden too).
  3. Choose the mode: Hide from the team or Stop receiving.
  4. With "Stop receiving" you can also delete previous messages. This is permanent: you see how many conversations, messages and attachments will be deleted, type DELETE to confirm, and it's recorded in the audit log.

The same action is in the Hadir Chat mobile app. To undo, open the conversation, choose Privacy settings from its actions, turn the mode off and Save.

Excluded numbers

For numbers that should never enter Hadir Chat, add them once:

  1. Open Settings → Inboxes and pick your WhatsApp inbox.
  2. Open the Privacy tab, then Excluded numbers.
  3. Add the number in international format (e.g. +9665XXXXXXXX) with an optional note.

An excluded number never creates a contact or conversation, never triggers automations, notifications or AI replies, and doesn't count toward your plan's limits.

Connecting a number that also runs in the WhatsApp Business app: Hadir Chat shows a Before importing earlier conversations step so you can add excluded numbers first and their history isn't imported. If you don't finish the step, the import starts on its own after 20 hours.

🔒 and 🔓 from your phone

If your number also runs in the WhatsApp Business app, you can hide a chat straight from your phone:

  1. In the inbox's Privacy tab, turn on Hide from the phone (off by default). You can change the two symbols.
  2. In the WhatsApp Business app, send 🔒 in the customer's chat: the conversation becomes hidden from the team. Send 🔓 to undo.

The symbol isn't saved in Hadir Chat and doesn't appear in the conversation. The customer does see it; you can delete it for everyone. Symbols the customer sends change nothing.

An email with every change

Every time privacy is turned on or off, from the dashboard or the phone, the account owner gets an email with the contact, the mode, on or off, who did it (a user's name or "phone app") and when. The email never includes message text. The change is also recorded in the audit log, visible only to people with the permission.

Reports

Reports count what each user can see, so two administrators can see different totals if only one of them sees private conversations.

Your data

Hidden messages are still your customers' data: exporting and erasing your workspace's data include them.

Secret mode

Owner only, from the phone only, with no setting in the dashboard. It hides a number from everyone, including you, until you show it again. Nothing is deleted: messages keep being stored, hidden.

  • In your own "Message yourself" chat in the WhatsApp Business app: /hadir-hide +9665XXXXXXXX to hide, /hadir-show +9665XXXXXXXX to show. Without a number, the command hides or shows your own self-chat.
  • Or in the customer's own chat: /hadir-hide or /hadir-show without a number.

When shown again, every message returns in order, including those received while hidden, with no notifications for the old ones. There's no confirmation and no email, and the command itself isn't stored. If the conversation doesn't disappear, check that the command is typed exactly.

Note: in the customer's chat the command reaches the customer as a message. Use your own "Message yourself" chat if you don't want that, or delete it for everyone.

If a customer asks for a copy of their data or for it to be deleted, show their number first with /hadir-show.
