Tasks

Record what needs doing for a customer, with a due time and an assignee, from the conversation or the Tasks page, and keep an eye on what is overdue.

On this page

Promised to call a customer back tomorrow? Waiting for them to send a document? Record it as a task with a due time and an assignee so it does not get lost between conversations. A task is linked to the customer and the conversation it came from, and your team finds every task on one page, ordered by when it is due.

Note: tasks are available if your plan includes them. If it does not, the page shows what you need to turn them on.

Add a task from the conversation

  1. Open the customer's conversation, then the Contact panel beside it.
  2. Open Follow-ups and select Add task. The customer and the conversation are already filled in.
  3. Enter What needs doing, such as "Call back about the quote".
  4. Set the Due date and time, and choose the Assignee.
  5. Add anything the person doing it should know in Note, then select Add.

The same section shows how many of this customer's tasks are overdue, so anyone who opens the conversation sees it.

The Tasks page

In the sidebar, select Sales, then Tasks. You find:

  • My tasks (1): open tasks assigned to you, soonest first.
  • All tasks (2): the whole team's tasks. This tab appears for administrators and roles with "See and edit every task and deal, not only their own".
  • Done: finished tasks.
  • The number overdue next to the title, and Add task (3) to add a task from here.

Each row shows the customer, a Conversation # link to where the task came from, the assignee and the due time. A task past its due time is marked overdue.

Finish or edit a task

  • Select the circle at the start of the row to Mark done. The task moves to Done, where you can Reopen it.
  • Select the task's title to open Edit task, change the due time or the assignee, then Save.
  • To delete a task, select the delete button at the end of its row and confirm.

Tasks on deals

If your plan includes Deals, you can add a task to the deal itself: open the deal and select Add task under Tasks. Every follow-up step on that opportunity shows there.

Who sees a task

An agent sees tasks assigned to them, tasks they created, and tasks on conversations assigned to them. Administrators, and roles with "See and edit every task and deal, not only their own", see every task.

Note: to notify an agent when a task is assigned to them, turn on "A task is assigned" in Settings, then Notifications, and choose how: email, a note in the conversation, or the bell in Hadir Chat.
